Database Management

Data Management offers our clients a complete, hosted, database management solution. Your data resides on our servers and we handle all the routine maintenance in our secure facilities. All you need to access your data from anywhere in the world is a PC with internet access, and a password into our servers. The number of concurrent users is virtually unlimited. We tailor each user's access permissions to his or her needs. In addition to our database maintenance and contact management applications, you can instantly run counts, run standard reports, analyze campaign performance, check jobs, and view shipping status 24 hours a day.

Database Maintenance

With our Masterfile Maintenance system, you can search for records by a unique ID#, ZIP or SCF, name, email address and a host of other criteria. As with other DMI products, Masterfile Maintenance can be customized to meet your organization’s needs.

Donor Data Management

Finding and changing constituent information has never been this simple. Using DMI's Masterfile Maintenance program, you can search for accounts by number, zip code, SCF, last name, corporation, and other criteria. Account information may be viewed and updated from one easy to use page. Most important, as with other DMI products, Masterfile Maintenance can be customized to meet your company's specific needs.

Querying

Running queries on your data can be a complicated process requiring time and extensive technical knowledge. DMI's donor query tool is designed to simplify queries so counts can be retrieved without the use of a complex query language. You can use our application to define precisely the data you are looking for. Whether you are searching for single transactions, or analyzing constituent trends over time, the query tool makes accessing your data easy. The results of your query can even be applied to any of our standard reports.

Campaign Selection

In today's environment, where everyone is trying to mail smarter and maximize ROI, database selection and segmentation has become a much more complex task. PrintPlus, our proprietary database selection system, bridges the gap between maximum flexibility and ease of use. With PrintPlus you can:
  • Select data from your donor file without any technical or query language knowledge.
  • Create simple Recency-Frequency-Monetary selects or highly complex segments.
  • Create a new select or base it on a previous one.
  • Customize the output of your select including format and output variables.
  • Apply the results of your PrintPlus select to any of DMI's standard reports.

Campaign Management

DMI's powerful Bluebook Campaign Analysis system allows you to track your direct mail campaigns on a daily basis, estimate final results using built-in response curves, and compare those results to your budget. Once the campaign is complete, you can drill-down into individual segments giving you the information you need in order to optimize future campaigns. In addition, Bluebook offers both the ease of standard reports and the flexibility to design your own reports.

Features of our Bluebook system:

  • Bluebook includes package and list segment codes, costs, quantities, paid responses, zero dollar responses, and much more.
  • You can drill down into the job for results by source code and then directly into the results by individual donor.
  • At the donor level you have access to the complete response history as well as the history of all the mailings the donor has received.
  • If costs have been entered into Bluebook and the promotional history for donor appeals are loaded, you can create subsequent Net lifetime value reports through Bluebook's reporting tools.
  • There are a variety of standard campaign management reports connected with Bluebook such as Doubling Day, Cash Flow, Budgeting/Forecasting.
  • You can export results directly into Excel or create graphs for campaigns, packages and lists directly from Bluebook.
  • The Custom Report feature allows you to customize your own campaign analysis reports using any fields within the Bluebook system, including Subsequent Giving values.

Standard Reporting

Understanding your file as a whole is essential to the long-term health of your file. DMI has over 30 standard database reports that will give you an immense amount of donor insight at your fingertips. Below are a few examples of reports that you can run at anytime.

Core Statistics: One of our most popular reports, the Core Statistics report breaks out your donors into lifecycle segments and highlights important metrics such as retention rates, average gifts, donor value, and donor frequency within each segment over a 5-year period. The information within this report may be invaluable to your long-term strategy.

Upgrade/Downgrade: The Upgrade/Downgrade report lets you see which donor segments of your file are giving more than the previous year and which segments are giving less.

Donor Attrition: Holding onto existing donors is much less expensive than replacing them with new ones. By getting a better understanding of who is leaving and why, you can become more proactive towards your donors before they expire. The Donor Attrition Report lets you see the ebb and flow of your file by month thus allowing you to create targeted strategies aimed at minimizing your attrition rate.

Recency/Frequency/Monetary: Understanding the RFM make-up of your file is every bit as important today as it was when it was first introduced over 40 years ago. DMI has several RFM reports with different time intervals and monetary variables for you to choose from.

Long-term Value

DMI offers TWO ways of looking at the long-term value of your investments: campaign level and inception-year level.

Our Bluebook system enables you to create NET long-term value reporting at the job/package/list level. Since the response to a particular campaign, you can see how many unique donors have made subsequent gifts, how many gifts, and the gross and net value of those gifts. With the Custom Report Tool, you pick only what data elements you want to see.

DMI's Inception-Year LTV report lets you see how each year's new donor's have performed in each subsequent year. Among the valuable information in this report is the number of pieces mailed to that group each year, gift information, and NET revenue for each subsequent year.

CRM Dashboard

DMI has developed a fully integrated solution to make scheduling and tracking personal contacts with your constituents easy. With our proprietary Contact Resource Management solution, inTouch, you can be notified every time a constituent makes a payment, specify what action needs to be taken, assign the task, and when the task must be completed. To make sending letters easy, the user can even create personalized merge letters and attach incoming files that can be downloaded directly from the inTouch Dashboard and other DMI Solutions. With inTouch you can:

  • Track all personal contact by date and user
  • Schedule call backs and meetings
  • Set customized alerts on individual constituents
  • Print personalized merge letters
  • Generate lead lists automatically
  • Schedule events with and track attendees
  • Attach documents and images to constituents records

To create even more efficiency within the inTouch system, DMI has developed Data Mining Wizards.
